Week 1–2 After Confirmation

Contract & Deposit

Engagement agreement is signed by both parties. Deposit invoice is issued and collected. All financial terms are confirmed in writing before any preparation begins.

Week 2–3

Event Brief & Logistics

Event organizer completes a detailed event brief — audience demographics, event theme, dress code, AV requirements, schedule, and any special considerations.

Week 3–4

Content Alignment

Speaker or coach reviews the event brief and confirms topic, message angle, and any customizations requested by the organizer. Content outline submitted for approval if required.

2–3 Weeks Before

Promotional Materials

Professional bio, headshot, and topic description are delivered to the event organizer for use in programs, websites, social media, and promotional materials.

1–2 Weeks Before

Travel & Logistics Confirmation

Travel arrangements, hotel accommodations, arrival times, parking, green room access, and on-site contact information are confirmed and documented.

48–72 Hours Before

Final Confirmation Call

A brief check-in call between the professional and event coordinator confirms all details, addresses any last-minute changes, and ensures both parties are fully aligned.

Day of Event

On-Site Coordination

Arrival time, sound check, green room setup, and schedule walkthrough. The professional is briefed on any real-time changes before taking the stage.
